Applying Metadata
- Be as thorough as possible with your metadata. These fields enable search and users can only find your assets by the metadata you enter.
- Certain fields are required and are indicated by a red outline. If you fail to fill out these fields, BrandNext will remind you after clicking complete and close.
- Don’t forget to check the box to share your asset. Sharing your asset ensures other regions and markets across the globe can search your asset.
- Try to be as specific as possible in the title field. This will prevent users from having to go to the Asset Detail Page to find out more about the asset or to get a better description. Do this especially if there are similar assets being loaded.
- Metadata will be embedded in the asset file upon download by any user (unless it’s a png, indd or video file)
Note: When uploading multiple assets at once (bulk upload) the metadata that the Content Loaders apply to the first metadata screen will be applied to all assets. Once they click “Save & Continue”, the Content Uploader will then go through each individual asset and apply additional metadata where needed.
Follow these steps |
1. Select the assets to apply metadata to.Here, you can choose to either select all assets by checking the box or click on an individual or a group of assets in this view to apply metadata. |
2. Click on the apply metadata to selected button above the asset(s) that you are uploading. The metadata window/form will open to show all of the fields available to apply Please note that the workflow cannot be completed and assets cannot be searchable until all have metadata applied and assets are marked “complete” as the Status. |
3. Complete the Metadata Form.Be as thorough as possible to facilitate global searching. Metadata is embedded in the image or document file upon download by a user (unless it’s a png, indd or video file) Note: When uploading multiple assets at once (bulk upload) the metadata that you apply to the first metadata screen will be applied to all assets. Once you click “Complete & Close”, you will then go through each individual asset and apply additional metadata where needed.

Future Review DateEither during the upload process or while editing the metadata for an asset, you can indicate a future review date which is located at the bottom of the metadata screen, above the IP rights selection area. When this field is filled in, the Content Lifecycle Coordinator and the Content Owner will be notified that the asset needs to be reviewed 90 days prior to this date. This is not related to the IP Rights expiration date.
IP RightsIP Right templates must be created prior to loading and assigning to the assets. Please see the IP Rights tutorial for assistance. To apply IP rights to the asset(s), select your region in the first field. If your BrandNext instance is split into sub-regions (or markets), then select your market.
To apply an IP Right:
*Please remember that .PNG files, .INDD and video files do not embed IP right data in the XMP metadata upon download.
