Uploading Assets

Uploading assets is extremely easy, but be sure to make some extra time to add metadata correctly. Metadata has proven to be a critical component as it is how users find the assets through search.
Recommendations and Reminders:
  • It is recommended to load assets directly from an internal or external hard drive rather than a CD/DVD as it may take much longer.
  • When uploading an InDesign file, make sure all of the links connected to the layout are uploaded to BrandNext first. Then, upload the InDesign file.
  • We recommend using Google Chrome to upload.
  • Follow file naming standards as described in the BrandNext file naming conventions document.
    • The filename should include a Brand or Category Code with the asset description. Usually this is included on the folder template so there is no need to add it to the asset prior to uploading unless you used the asset in an InDesign file. Then it must be applied at the time of the InDesign creation to ensure proper linking.
    • Please limit the file name to 27 characters or less, any more and it may cut off in the search results screens.
  • Non vendor use: Vendors will not be able to see these files in their search results as long as they are in the Vendor user group.
    Frequently Asked Questions and Claims Grids are documents that should only be viewed by employees. When loading FAQs and Claims Grids, content uploaders must add _NVU to the end of the file name.
    It is recommended that you add the _NVU before you upload the file to BrandNext. However, you could add it during the Apply Metadata process.

To Upload

1. Navigate to lowest level in the folder to load your asset. In this example, we are going to load to brand support.
2. Click Upload Assets at the top right corner of the main asset window.
3. Select the asset (file) you want to upload in the explorer pop up then click “open”.
You can also use the shift or control keys to select more than one asset.
You will see the progress bar appear. Upload time will depend on the quantity and size of files you are uploading
4. Click done when the check mark appears and it says Complete on all assets
5. Go to the notifications. This notification is next to your user avatar at the top of the screen.

When an asset or assets have been uploaded, the uploader will recieve a notification to complete the upload process by adding metadata
Keep in mind that metadata and IP rights must be applied before the asset goes live.

6. Select View all at the bottom of the drop down menu
7. Click on the Assets Uploaded link for the upload you want to apply metadata to.

Depending on your system speed and file size, your thumbnails may take some time to show.
Here, you can choose to either select all assets by checking the box or click on an individual or a group of assets in this view to apply metadata.

7. Click the apply metadata to selected button above the asset or assets that you are uploading.

*Please know that the workflow cannot be completed and assets cannot be searchable until all have metadata applied and assets are marked “complete” as the Status.
